Lodging Changes for EcoFarm 2023

For the 2023 conference, EcoFarm is instituting a major change in the way we handle lodging. You will no longer book your room through EcoFarm when you complete your conference registration. Instead, these will be two separate processes. You will continue to book your conference registration with EcoFarm on our website. To reserve your lodging, you will go to Asilomar’s website set up for EcoFarm attendees: https://book.passkey.com/e/50367881, and complete that transaction separately. We are making this change for two reasons. First, it costs EcoFarm thousands of dollars in staff time to handle your requests. The less we spend, the less pressure there is on us to raise prices. Second, Covid. We can not take on the responsibility of matching you with roommates, given the virus transmission possibility that exists in mask-less sleeping rooms.

Lodging at Asilomar is reserved for conference attendees only. If your spouse/partner plans to travel with you, but not register for the conference, please register yourself for the conference without lodging at Asilomar and reserve a room for you and your spouse/family at Pacific Gardens or Deer Haven adjacent to the Asilomar Conference Grounds, as these two offsite motels offer single or double occupancy for one price. In addition, there are several other motels in Pacific Grove where you may make your own lodging arrangements.

Each conference lodging night at Asilomar includes three meals—dinner, breakfast, and lunch. Check in time at Asilomar is 3pm. Attendees arriving early may store their luggage at the front desk.

Sharing of Rooms & Roommates

Spouses, partners, and friends MUST each register for the conference. You must request each other as roommates in order to be assigned to the same room. You may request up to three roommates for quad rooms. If you request someone to be your roommate, and they do not request you, your reservation will be put on hold. All requested roommates must be registered for the same lodging nights. Asilomar will charge a $20 per person registration fee. Rooms with fireplaces or ocean views may cost extra. You can request a specific room, and early registrations receive priority.

Can I request a specific person to room with?

Yes. Spouses, partners and friends who are registered for the conference must request each other to be assigned to the same room. All requested roommates must be registered for the same lodging nights. Please indicate your roommate(s) request through Asilomar’s lodging portal. You may request up to three roommates (in a Quad room).

My spouse and I are in a double room but we want one bed. How do I make that request?

You and your spouse should each register for a double room at the conference. Please indicate your choice of a roommate on Asilomar’s lodging webpage.
